Overview:
We are seeking a dedicated Spa Receptionist to join us for a 14-month maternity leave coverage, with the possibility of extending the term. The role involves managing front desk operations, scheduling appointments, and ensuring a seamless experience for our valued clients. This position requires a commitment to providing outstanding service and maintaining a welcoming atmosphere.
Hours of Operation:
- Monday: 10:00 AM – 4:30 PM
- Tuesday: 10:00 AM – 7:00 PM
- Wednesday: 10:00 AM – 7:00 PM
- Thursday: 10:00 AM – 7:00 PM
- Friday: 10:00 AM – 7:00 PM
- Saturday: 10:00AM – 5:00PM
Additional hours and flexibility for shift swapping are appreciated and encouraged.

Roles & Responsibilities:
- Communication Management: Handling all incoming and outgoing communication through various channels promptly and with urgency.
- Client Interactions: Welcoming clients, managing forms, and ensuring hospitality during their visit.
- Software Utilization: Proficiency in specific spa software such as Insight, Typeforms, Direct Billing, Shipping, and Website management.
- Order Processing: Managing online and in-store product and gift card orders.
- Transaction Handling: Processing cash, billing, refunds, invoicing, and quoting accurately.
- Scheduling Efficiency: Managing schedules effectively and confirming appointments.
- Front-of-House Maintenance: Maintaining a welcoming and organized reception area.
- Service & Practitioner Knowledge: Understanding the services offered and practitioners’ expertise.
- Steam Room Appointments: Handling appointments related to spa facilities.
- Laundry & Inventory: Managing laundry and updating inventory counts.
Training:
Concrete Training:
- Tone of Communication: Training on maintaining a positive and friendly communication style
- Information Collection: Accurately collecting necessary information for scheduling and communication purposes
- Scheduling Tasks: Creating client profiles, confirming methods, invoicing, and handling discounts
Situational Training:
- Handling Challenges: Training to deal with out-of-stock products, PayPal fraud, inaccurate bookings, and client complaints
- Escalation Procedures: Knowing when and how to escalate situations appropriately
- Offering Alternatives: Ability to propose alternative solutions when faced with challenges
